ESCC COMMITTEE ROLES

President

-        Chair Club meetings.

-        Ensure Junior/Senior Delegates attend Monthly Association Meeting.

-        Ensure all club committee members and coaches fulfil their roles.

-        Facilitate planning.

-        Oversee all targets and performance goals.

-        Ensure all risk management, duties and code of conduct (etc.) policies are adopted.

-        Provide guidance and leadership.

Vice President

-        Assist President with full list of duties above.

-        To sit on the MDCA board as club representative.

 

Secretary

-        Convene all club meetings and advise all potential attendees.

-        Provide secretarial support to the committee, including preparing agendas in consultation with the President.

-        Prepare, distribute and file minutes of all committee and General meetings of the club.

-        Prepare a comprehensive report of all activities of the Club for the presentation to the membership at the AGM.

-        Maintain a copy of the Rules and By-Laws of the Club.

-        Receive all correspondence (email and Letter) to the Club.

-        Ensure all licenses required by the club are current.

-        Act as the Public Office of the Club (Incorporated Association)

Treasurer

-        Prepare budget, in consultation with the committee to reflect income and expenditure of the Club for presentation at the first meeting of the year.

-        Maintain up to date records of all income and expenditure.

-        Maintain the club‘s cash flow and level of petty cash.

-        Prepare and distribute invoices/accounts for services rendered.

-        Attend monthly club committee meetings and provide a financial report.

-        Make details of all accounts available to the Club Committee and members as provided in the Corporate Affairs Act.

-        Oversee and seek reports of all other accounts held by sections of the Club.

-        Submit tax returns and income tax payments for employees as required.

-        Prepare financial accounts suitable for auditing and provide the auditor with all necessary information.

-        Report activities of the portfolio to the membership at the AGM.

-        Be one of several signatories – two on each club cheque.

Junior Coordinator/Registrar

-        Prepare Junior Registration Forms for Season.

-        Email Junior members with information on season and how to register.

-        Liaise with Secretary to advertise to schools. (Mackay Cricket organizing this season)

-        Load all Junior paper registration forms for the Season and register for competition on mycricket.

-        Issue ‘Club Welcome Letter’ for season to all Junior players via website and email link to members.

-        Maintain Junior Sub-roles on mycricket and ensure only registered players have a Junior Sub role.

-        Action JUNIOR CLEARANCE REQUESTS on mycricket, check with Treasurer for outstanding fees.

-        Keep Junior Players up-to-date with information via email and SMS when required throughout season.

-        Ensure all Teams are entering their scores into mycricket.

-        Be the general contact person for all Junior Players.

-        Association contact for players that are not registered.

-        Ensure all players have been issued with and are aware of the player/parent code of conduct

 

Senior Coordinator/Registrar

-        If using online registration, set up online registration on mycricket for Seniors.

-        Liaise with Website Coordinator to advertise Senior Season and load ‘Senior Register’ online section on website.

-        Load all senior paper registration forms for the Season, register for competition on mycricket.

-        Issue ‘Club Welcome Letter’ to season for all Senior Players via website and email link to members.

-        Maintain Senior Sub-roles on mycricket and ensure only registered players have a Senior Sub role.

Mycricket Coordinator

-        Ensure all committee members have correct access to use all of what mycricket has to offer.

-        Load all coaches with user ID’s to enter teams, match/player results (Jnr), email access.

-        Provide Mycricket Support to all users on how to use the mycricket system.

-        Update club office bearers and club contact information and ensure all club mycricket details are correct.

-        Assist club users with mycricket procedures on mycricket when necessary.

-        Ensure President completes Insurance Register and Teams numbers for the season in early September.

 

Equipment Coordinator

-        Complete an inventory of all club equipment at the start of season.

-        Ensure all coaches have a stocked kit bag at start of season.

-        Liaise with Treasurer regarding equipment purchases made.

-        General contact’ for everything equipment.

Club Apparel Coordinator

-        Keep a complete inventory of club apparel if issued by club.

-        Ensure all apparel is safe and secure and a system has been set up to issue apparel.

-        Keep records of apparel issued and liaise with Treasure.

-        Order stock when necessary.

-         

Social Coordinator

-        Develop and submit proposals of social events and functions to the committee for approval.

-        Submit information to the club news administrator of upcoming events.

-        Organise and coordinate social events for the club.

-        Submit reports to the club committee/treasurer on functions taken place.

 

Club News / Club Email Administrator

-        Person responsible for incoming club emails to club email.

-        Reply to incoming club emails and redirect emails when required to committee members.

-        Liaise with club committee members and attend monthly meeting to gather information for a regular club news email.

 

Website Administrator

-        Maintain the Griffins website and keep all information up-to-date.

-        Place regular news items on website.

-        Update photos and menu items when necessary.

-        Liaise with club committee members and coaches regarding information to place on website.

 

Cricket Blast Co-Ordinator

-        Attend sign on and 6 week program as the club’s Milo in2cricket Coach.

-        Session preparation activities can be prepared by visiting the milo in2cricket website for information.

-        Load Milo in2cricket dates, information on mycricket leading into season.

-        Set up online registration for milo in2cricket on mycricket

-        Liaise with Secretary to advertise program.

-        Order in2cricket ‘Manual Registration Forms’, Coordinator Shirts, Hats and Flyers via mycricket prior to signon day.

-        Keep families up-to-date via the mycricket email system.

-        Order participant packs according to Male, Female, Returning or New Participants.

-        Issue packs to participants according to coaches instructions.

-        Take group photo and issue certificates at the end of program.

-        Be a Parent contact throughout program via email and at program afternoon days.

-        Arrange sausage sizzle at end of program.
